Microsoft Office 365 is a robust and suitable Software as a Service platform that meets the requirements of most organizations. Office 365 offers application availability and uptime which ensures that your users never lose momentum. But with an Office 365 backup, you are also protected in many other contexts. After talking to hundreds of IT professionals around the world who use Office 365, we have identified six pitfalls in data protection: accidental deletion, confusion and inadequate storage policies, internal security threats, external security threats, legal requirements and compliance and management of hybrid e-mail mail deployments and migration to Office 365. As an organization, you need to ensure that your IT team has control over your data and that there is no risk of losing important information.

Geo-redundancy cannot protect against all types of data loss. For example, if you delete a user, whether you do it on purpose or not, then the user is deleted on the entire network.
The built-in trash and version histories in Office 365 can only protect you from data loss to a limited extent, and it can cause major problems once Office 365 has permanently deleted your data through geo-redundancy.
There are two types of deletion on the Office 365 platform: soft and hard. An example of a soft delete is when deleting the files under "Deleted Files". This type of deletion is also called "permanent deletion". In this case, however, the permanent deletion is not permanent as the file can still be recovered.
A hard deletion occurs when the file is removed from the database. Once this has happened, the file cannot be recovered. It is not longer.
Unless there is a backup solution running in the background.

In the digital age, business is evolving rapidly and is subject to so many policy changes - including storage policies - that it is difficult to follow and implement them. As with soft and hard deletion, Office 365 has limited backup and storage policies, which only protect against situational data loss and are not designed for use as all-inclusive backup solutions.
If an employee e.g. leaves your company, Microsoft will only retain the former employee's data for 90 days, depending on those settings. Microsoft is only responsible for maintaining the storage policy described in the usage agreement, and if they did more than that then it would be considered a breach of contract. It is important to make a backup of former employees' data and IT administrators often think that they are better protected than they really are until the important data is lost.
With an Office 365 backup solution, it is possible to have a better, longer and more accessible storage policy, which protects all your data by gathering them in one place, so recovery is easy, fast and reliable.

When you think of security threats, you usually think of hackers and viruses. But there are also internal security threats from the company itself, and they are more common than you might think. Organizations are often exposed to threats from their own employees, whether consciously or unconsciously.
Access to files and contacts is changing so fast that it can be difficult to keep an eye on those you trust the most. Microsoft does not know the difference between an active user and a laid off employee trying to delete important company data before leaving the company. In addition, some users unknowingly create serious security threats by downloading infected files or by unknowingly leaking usernames and passwords to websites that they thought they could trust. It takes a certain amount of training to deal with these threats, but human error and malicious intent will always be a threat as long as the right measures are not taken, such as backing up.

Malware and viruses, including ransomware, have caused harm to many organizations in recent years. In addition to jeopardizing the company's reputation, it also creates a risk in terms of securing internal data and customer data. It is not easy to repair a damaged reputation after a security breach.
External threats can sneak into email and files, and it's not always enough to tell users what to keep an eye on - especially when the infected emails are designed for the sole purpose of getting the recipient to open. them.
Exchange Online offers limited backup and recovery solutions that are not comprehensive enough to protect against serious attacks. Regular backup can help prevent an external attack from taking over.

Sometimes you are required to restore inboxes and other data forms due to legal reasons. It's the kind of thing that you don't think is going to happen to you, and all of a sudden it does. Microsoft has a few safety nets (also known as the In Place Hold and Litigation Hold settings), but as in the other cases, it is not a reliable backup solution that can ensure that your business does not violate local laws. For example, if you accidentally deleted a user, their inbox will also be deleted.
Legal requirements, compliance and access rules differ from one industry and one country to another, but common to all is that they do not feel like writing fines, criminal records and disputes on their to-do lists.

There is usually a transition period for organizations that choose to use Office 365 as they switch from Exchange to Office 365 Exchange Online. Some of them even leave a small part of their legacy system on Exchange as it ensures increased flexibility and control. These hybrid email deployments are very common, but add additional handling challenges. The right Office 365 backup solution should allow you to handle hybrid email deployments and treat all the exchanged data the same, so the location of the source is irrelevant.
