Microsoft Office 365 is a robust and suitable Software as a Service platform that meets the requirements of most organizations. Office 365 offers application availability and uptime which ensures that your users never lose momentum. But with an Office 365 backup, you are also protected in many other contexts. After talking to hundreds of IT professionals around the world who use Office 365, we have identified six pitfalls in data protection: accidental deletion, confusion and inadequate storage policies, internal security threats, external security threats, legal requirements and compliance and management of hybrid e-mail mail deployments and migration to Office 365. Geo-redundancy cannot protect against all types of data loss. For example, if you delete a user, whether you do it on purpose or not, then the user is deleted on the entire network.
The built-in trash and version histories in Office 365 can only protect you from data loss to a limited extent, and it can cause major problems once Office 365 has permanently deleted your data through geo-redundancy.
There are two types of deletion on the Office 365 platform: soft and hard. An example of a soft delete is when deleting the files under "Deleted Files". This type of deletion is also called "permanent deletion". In this case, however, the permanent deletion is not permanent as the file can still be recovered.
A hard deletion occurs when the file is removed from the database. Once this has happened, the file cannot be recovered. It is not longer.
Unless there is a backup solution running in the background.

Sometimes you are required to restore inboxes and other data forms due to legal reasons. It's the kind of thing that you don't think is going to happen to you, and all of a sudden it does. Microsoft has a few safety nets (also known as the In Place Hold and Litigation Hold settings), but as in the other cases, it is not a reliable backup solution that can ensure that your business does not violate local laws. For example, if you accidentally deleted a user, their inbox will also be deleted.
Legal requirements, compliance and access rules differ from one industry and one country to another, but common to all is that they do not feel like writing fines, criminal records and disputes on their to-do lists.

There is usually a transition period for organizations that choose to use Office 365 as they switch from Exchange to Office 365 Exchange Online.
